The project

Having already digitalised its internal legal processes through a back-office system, the client, top tier international sports federation, needed to take the next step and open up its case-management process to external stakeholders. Players, clubs, legal representatives and other parties had no direct channel to submit legal claims to be arbitrated by the organisation and the process still relied heavily on paper documentation and email communication.

The client wanted to eliminate these manual channels entirely and offer external stakeholders a fully digital experience for filing and tracking their claims, avoiding paper and email communication altogether.

The solution

Izertis developed a modern web portal that enables external stakeholders to file legal claims and manage their cases before the organisation's judicial bodies in a standardised, efficient way. The portal replaces paper and email communication with a fully digital, self-service experience: users can track case progress, access documentation and timelines, and receive automated notifications via email and in-portal alerts.

The portal also provides a secure, structured environment for users to upload and exchange supporting documents and evidence, streamlining case preparation, and gives them the ability to request legal and technical support directly from within the platform. A responsive design ensures seamless access from both desktop and mobile devices, enhancing flexibility and engagement for all stakeholders.

The platform offers a multilingual role-based interface that serves every category of stakeholder under a single sign-on identity, and integrates securely with the organisation’s case-management back-office system to remove duplicated work for internal legal teams. It was built as a 'rich-client' single-page application, hosted on Microsoft Azure under the organisation’s cybersecurity policy, with its development lifecycle aligned to strict internal software development standards; Izertis’ teams have passed the annual compliance audit against these standards with outstanding results every year.

Uptime monitoring and alerting are configured across the platform, with automated test coverage further expanded during 2026, and the solution now serves as the foundation for a future AI-driven roadmap that includes a legal on-boarding agent, centralised legal support tools, and a legal-specific large language model.

The result

Since launching the portal, the volume of legal cases handled per year has increased threefold, while the organisation has been able to manage this growth with fewer administrative resources. The redesigned, intuitive interface has significantly improved the user experience, making it easier than ever for stakeholders to file and manage claims before arbitration bodies.

Centralised digital communication ensures users stay informed in real time with procedural notices and final rulings, while the secure document exchange environment has streamlined case preparation across the board. Direct access to legal and technical support from within the portal ensures agile responses whenever users need assistance.

The platform now serves the organisation’s entire global stakeholder base, and has processed more than 85,000 legal claims and requests since it was first launched in 2022, with 14,000 registered users today. Case-initiation time has fallen from weeks to minutes, and complete end-to-end traceability of every submission, notification and decision keeps the organisation aligned with its audit and confidentiality requirements.
